Use the correct sheet template
Record the width and height of one label, the number of columns, the gaps between labels and the sheet margins. Two sheets with the same number of labels may use different positions. Prefer the manufacturer’s template.
In Word, label options let you choose a supplier and product reference or define custom dimensions. Create an editable document to place your QR image in. Menus vary by version; the Microsoft source below describes the available options.
Separate repeated codes from a series of links
For identical labels, generate one QR and repeat it with the Qurl printing tool. For different products or locations, keep an explicit mapping between each identifier, its link and its file. Do not duplicate a label before replacing its image and caption.
Fictional example: references A01, A02 and A03 represent three product pages. Name the images qr-A01.png, qr-A02.png and qr-A03.png, then check each payload. Qurl does not offer CSV import or batches of different QR codes; use your layout software for those batches.
Prepare a label sheet in Qurl
- Open the printing tool and create your QR. Choose its module size in the settings.
- Expand “A4 label sheet”. Enter label width and height, columns, rows, left and top margins, then the gaps between labels.
- If needed, add a caption under “Customise”. It wraps to each label’s width without changing the encoded content.
- Keep outlines for a plain-paper proof, then turn them off for a precut sheet. Download the label sheet PDF and print at 100%.
The initial layout places twelve 60 × 60 mm labels: three columns and four rows, 5 mm apart, with a 10 mm left margin and a 21 mm top margin. The grid covers 190 × 255 mm, centred on A4. It is a starting point to adapt, not a commercial product reference.
The QR keeps the selected module size. Qurl rejects page overflow and leaves 2 mm between the label edge and the QR/caption block, in addition to the QR’s own quiet zone. A long caption or a large QR needs a larger label or shorter content; nothing is automatically shrunk.
Protect the grid and its border
Place the QR code at fixed dimensions without distortion or cropping. Its clear margin must stay inside the label, away from the cut. Keep the caption in a separate area. If it does not fit, shorten the text or choose a larger label instead of squeezing the code.
Check the final use too: a flat label on a box and the same label wrapped around a small bottle do not have the same geometry. Prepare a sample attached to the actual object before producing the series.
Check alignment before using label stock
- Print on ordinary paper at 100%, without fitting to the page.
- Overlay it on the label sheet to identify offsets.
- Check all four corners and the last row, not just the first label.
- Correct the template if the offset grows down the sheet.
- Print a real sheet, attach a sample and check that it reads.
For several destinations, supplement this alignment check by verifying every link before printing.
A constant offset is corrected by moving the left or top margin. If the first row aligns but the fourth is 3 mm too low, the vertical pitch is 1 mm too large: three intervals separate those rows. Check label height and vertical gap instead of moving the whole grid.
